These same paragraphs do not apply to personal information that is public under the law, effective immediately upon the implementation of this policy.

[44] Duration of the retention of your data
[45] We will retain all information collected as long as it is necessary to achieve the objectives for which we collected it or for other essential purposes such as compliance with legal obligations. We will destroy this data at the end of this period or if you decide to withdraw your consent. If you request it, once your data is deleted, you will receive confirmation that your request has been processed.

Note: Retention and destruction of personal information Unless a minimum retention period is required by law or applicable regulations, TrucknRoll will only retain personal information for the duration necessary to achieve the purposes for which it was collected. Personal information used by TrucknRoll to make a decision about an individual must be kept for at least one year following the decision in question, or even seven years after the end of the fiscal year in which the decision was made if it has tax implications, for example, the circumstances of termination of employment. At the end of the retention period or when personal information is no longer necessary, TrucknRoll will ensure:

  1. To destroy them; or

  2. To anonymize them (i.e., they no longer, irreversibly, allow the identification of the person and it is no longer possible to establish a link between the person and the personal information) for serious and legitimate purposes. The destruction of information by TrucknRoll must be done securely according to the terms of the internal security policy, to ensure the protection of this information.

[49] We do not solicit or collect personal information from minors under the age of 14. If you are a parent or guardian and realize that a minor under the age of 14 has provided us with personal information, please contact us. If we become aware that we have collected personal information belonging to a minor under the age of 14 without parental consent, we will erase any information that may have been collected.

[50] Complaint processing
TrucknRoll is committed to treating any complaint received confidentially. Within 30 days of receiving the complaint or receiving all additional information deemed necessary and required by the privacy officer of TrucknRoll to be able to process it, the privacy officer must assess it and provide a written, reasoned response by email to the complainant. This assessment aims to determine whether the processing of personal information by TrucknRoll complies with this policy, any other policies and practices in place within the organization, and applicable legislation or regulations. In cases where the complaint cannot be processed within this time frame, the complainant must be informed of the reasons justifying the extension of the deadline, the progress of the processing of their complaint, and the reasonable time required to provide a definitive response. TrucknRoll must create a separate file for each complaint addressed to it. Each file contains the complaint, the analysis, and supporting documentation of its assessment, as well as the response sent to the person who made the complaint. It is also possible to file a complaint with the Commission d'accès à l'information du Québec or any other privacy protection oversight body responsible for enforcing the law concerned by the subject of the complaint. However, TrucknRoll invites anyone interested to first contact its privacy officer and wait for the end of the processing process by TrucknRoll.
